Event Details Dates: Friday, 3 April 2026 to Monday, 6 April 2026 Duration: 4 consecutive days Applications for individual days will not be accepted. Vendors must apply for and trade for the full duration of the festival. 2. Vendor Space & Stand Allocation Each vendor will be allocated one stand only. Stand size is 4m x 4m. Vendors may trade from: A standard stall, or A food truck, trailer, caravan, or approved mobile unit. No vendor will be allocated more than one trading space. Important: If approval is granted and you arrive with a vehicle or setup larger than the approved dimensions, you will not be allowed to trade. 3. Stand Fee Stand Fee: R1200 The fee covers the full 4-day event. Payment will be requested only from successful vendors. Submission of this application does not guarantee acceptance. 4. Set-Up & Break-Down All vendors must complete setup by 10:00 on each festival day. Break-down may only commence after the festival has concluded. All stalls must be left clean and free of waste upon departure. 5. Access to the Festival Area Every person assisting a vendor — including loading and unloading helpers — must purchase a valid festival ticket. This applies to vendors, staff, and any assistants. 6. Products & Trading Restrictions Vendors may only sell products explicitly listed in their application. The use of vague terms such as “etc”, “and so forth”, “and more” is not permitted. Selling unapproved products will result in immediate disqualification. 7. Health & Safety Requirements Vendors selling cooked or prepared food must provide a valid Health Certificate. Stalls using: Gas Inverters Generators must comply with the following: A fire extinguisher must be present at all times. A “No Smoking” sign must be clearly displayed. All gas users must be registered and certified by the Breede Valley Municipality (BVM) Fire Department. 8. Certificate of Compliance (COC) A Certificate of Compliance is required for: Gas cylinders exceeding 9kg Inverters or generators exceeding 5kVA 9. Electricity Electricity will not be provided. Vendors must supply their own power, subject to the following: Only low-noise generators are permitted. Loud generators will not be allowed. Generators must be positioned at least 10 metres away from the stand. All power arrangements are subject to approval by the festival’s fire safety officer. 10. Overnight Stays One person may stay overnight at the allocated plot for security purposes only. This is permitted solely to safeguard stock and equipment. 11. Vendor Selection Criteria Due to limited space, vendors will be selected based on: Relevance of products to the festival and audience Compliance with health, safety, and certification requirements Preference for vendors based in the Breede Valley Product variety and diversity Sustainable and eco-friendly practices Quality and presentation of products Previous experience and reputation Innovation and customer engagement Community involvement and local sourcing 12. Final Decision The final selection of vendors is made by the festival selection committee. All decisions are made objectively and fairly. Applications that fail to meet requirements or submit required documentation will not be considered. 13. Changes & Enforcement The organisers reserve the right to add or amend conditions if required for the smooth operation of the festival. Vendors who attempt to negotiate or deviate from these conditions may be automatically disqualified. 14.
